Application process
BEFORE THE MOBILITY
If you are interested in becoming an Erasmus+ student at Matej Bel University in Banská Bystrica (UMB), please read carefully the information below about our application procedure.
1. START OF THE APPLICATION PROCESS - NOMINATIONS
First, we need to receive an official nomination from your home university by e-mail to: [email protected]
containing following information:
- First and last name
- Date of birth
- Gender
- Sending institution/Erasmus code if applicable
- Study program at your home institution and degree of studies
- Semester of study at Matej Bel University
- Contact e-mail address
- Nationality
Matej Bel University accepts nominations sent via EWP Dashboard as well.
Partner universities are reminded that every nomination must be supported by a valid inter-institutional agreement covering appropriate study field. The main nominated field should remain the student’s primary study area.
Nomination deadlines are as follows:
Winter semester/whole academic year – nominations are open from 1st May until 15th June
Summer semester – nominations are open from 1st September until 15th October
2. FURTHER STEPS TO TAKE
Once we receive your nomination, you have until until 15th July (Winter term/whole AY) or 15th November (Summer term) to provide following documents:
2.1 Online Application Form
After the official nomination, you will receive an email from your UMB assigned Erasmus+ coordinator asking you to to fill in our Online Application Form. Complete all the required fields, attach all the mandatory documents (3):
- Online Learning Agreement/or other form of Learning Agreement (pdf or download)
- Language Certificate
- ID/Passport
and submit the application.
Note: Be sure to complete the place of birth fully (city, country), provide the full permanent/current address (street, number, city, zip-code, country), correctly insert the period of stay and arrival date!
2.2 Learning Agreement (attachment 1 to the Application Form)
When preparing your Learning Agreement, you are requested to build your study plan at UMB choosing from our Catalogue of Courses. Please consult the selection with your home university coordinator. After the semester begins at UMB, you have 2 weeks to make any changes in case of schedule overlappings or in case some of the offered courses don´t open due to lack of enrolled students.
Note: Incoming Erasmus+ students are expected to provide their Learning Agreements digitally via EWP (OLA). OLA (Online Learning Agreement) is mandatory. If your home university can not sign OLA, your Erasmus+ coordinator needs to notify us via email. Ask your university about the OLA procedures.
Further instructions to follow:
- Erasmus+ study: complete your Online Learning Agreement – sign it online, get approved and signed online by the responsible person at your home university. Once done, download pdf and attach to the Online Application Form (ask your home coordinator about OLA).
- Erasmus+ traineeship/traineeship graduate: it is considered individually. In case of interest, please forward your email, including your CV+motivation letter+document Learning Agreement for a traineeship/traineeship graduate) to: [email protected]
2.3 Language Certificate (attachment 2 to the Application Form)
All the courses for exchange students at UMB are taught in English. Nominated students are expected to be highly proficient in English. Minimum level B2 is required. Please attach an appropriate language certificate that proves your level of English. It can be either an international language certificate or a document issued by your home university, always signed and stamped.
2.4 Copy of your ID/passport (attachment 3 to the Application Form)
A copy of your valid identity card or valid travel document must be attached to the Application Form as well.
3. HOW TO FIND OUT IF YOU HAVE BEEN ACCEPTED?
Once you have succesfully submitted the Online Application Form, including all the requested attachments and documents, your UMB assigned coordinator will review and digitally sign your Online Learning Agreement/other form of Learning Agreement. After that, you will also receive your offical Acceptance Letter (as a scanned copy to an email).
At this point, you have been officially accepted and can start to plan your exchange stay at Matej Bel University.
Your UMB assigned coordinator will keep in touch with further instructions during the whole process. Don´t hesitate to approach them with all your questions and concerns.

ORIENTATION EVENTS
Orientation Days – Orientation Days are organized at the beginning of each semester either online or in person, followed by various social activities and events held by the Erasmus Study Network (ESN) including ESN Welcome Day. It is compulsory for all students to attend the in-person orientation program. Dates and details will be confirmed in due time by email once you have been accepted.
Welcome Week – organised in-person by ESN during the first weeks of each semester. Do participate to better understand our procedures! You will be notified by ESN members on the start and duration of this event via various group chats or via email. We also encourage your interaction with Slovak students to help build connections and find support during the stay!
DURING THE MOBILITY
You are already at Matej Bel University, part of the Erasmus+ community
- you need to visit our International Cooperation Office, Incoming Students Coordinator – to welcome you and confirm your arrival document issued by your home university;
- you will be provided with all access logins - to our academic system AIS2 (via email), to your university email account/moodle/teams (via notificaton in your AIS2 account);
- request your student UMB card/ISIC card to receive discounts – check the instructions below;
- check your Course Schedule correctly - you have 2 weeks from the start of the semester to do any changes in your prepared study plan. You need to mark every change in your Online Learning Agreement – part „changes“. Also this needs to be agreed and signed by your home coordinator, signed by you, and then by our institution. Do not forget this step.
Then, enjoy your classes and new journey. You need to attend every class - if not possible due to the illness, you need to always inform your teacher.
HOW TO APPLY FOR YOUR STUDENT CARD (ISIC CARD)
You do not obtain the ISIC card from International Cooperation Office; You can request it once you arrived to UMB, via email to: [email protected]
Your email request should be structured as follows:
subject: Erasmus ISIC – name and surname
attachments:
- good quality photo of your face named „surnameyyyymmdd“ (yyyymmdd being your date of birth)
- if applicable, copy of valid ISIC card from another country with the ISIC license number and validity fully visible
- filled-in application form (ask your UMB assigned coordinator or write to [email protected])
- the application as well as the email must be signed by your full name; add also your UMB student ID
After the submission of application, you will receive a notification to your AiS account (Academic Information System of UMB) regarding the payment (29 EUR full amount or 18 EUR if you already have a valid ISIC card from another country)
Only wire transfer payment is accepted. Once the payment is processed, another notification will drop into your AiS account in this regard.
ISIC cards are ready for collection at:
ISIC Card Office: Cesta na amfiteáter street 1; Office Nr. 323, rear building of the Faculty of Economics, 3rd floor
AFTER THE MOBILITY
Your stay should align with the duration of our semester(s) and all courses and exams should be completed. Your departure documents (Confirmation of Mobility, Transcript of Records) will be issued after a proper check-out, namely:
- those of you staying in the student dorms need to notify dormitory staff 2 weeks ahead about your exact date of departure, so they can check your room and payments;
- you must return the dorm ID and room-key;
- and return all books and study texts to the library.
Confirmation of Mobility – we sign and stamp this type of document issued by your home university at the very end of your mobility. Please contact your UMB assigned coordinator for this purpose.
Transcript of Records – will be issued, stamped and signed when all evaluations and grades are visible in your AiS account. Please contact your UMB assigned coordinator for this purpose.
